COVID-19 Policies

Prayerful and careful, but not fearful

As you make your preparations for the event, we wanted to share the COVID-19 plan we have in place for CWVFF 2020. Our goal with these guidelines is to do our best to respect the local and state government requirements and recommendations to help keep people healthy while at our event.

We also want to encourage you, whether at the event or elsewhere, to please bear in mind the convictions of your brothers and sisters in the Lord, and show love and consideration to those you are interacting with. (Romans 14:13, Romans 12:10) 

It is our hope and prayer that everyone will be edified in their fellowship with each other and also grow in their relationship with Christ. Nothing can separate us from the love of God! (Romans 8:35-39) We do want you to be prayerful and be careful, but not fearful! (2 Timothy 1:7)

For Attendees:

  • Attendees who are concerned about contracting COVID-19 or are in at-risk demographics are encouraged not to attend in person. While we are working to hold the event in accordance with local guidelines and to mitigate risk, there remains some chance of transmission.
  • Any attendees who have been sick with COVID-19 related symptoms within 7 days leading up to the event are requested not to attend.
  • All attendees will be required to answer the following questionnaire upon registration:
    • Have you been in close contact with a confirmed case of COVID-19 in the past 14 days? (Does not apply to medical personnel, first responders, or other individuals who encounter COVID-19 as part of their professional or caregiving duties while wearing appropriate PPE)
    • Are you experiencing a cough, shortness of breath, or a sore throat?
    • Have you had a fever in the last 48 hours?
    • Have you had a new loss of taste or smell?
    • Have you had vomiting or diarrhea in the past 48 hours?
      If the answer is “yes” to any of the above questions, attendees will not be allowed entrance into the venue per state regulations.
  • Upon registration, each attendee will be temperature screened at the door with a touchless thermometer. Anyone with a temperature of 100.4° F or higher will not be allowed entrance into the venue per state regulations.
  • All attendees over the age of 12 are encouraged to wear cloth face coverings wherever social distancing is not feasible. Festival-branded cloth masks will be provided to all attendees at registration. Attendees are welcome to remove face coverings during sessions and screenings when in seats, or when eating.
  • All attendees are encouraged to practice social distancing between family units or travelling groups, and to place at least 2 empty seats between themselves and other travelling groups during sessions and screenings. At least 6’ between groups is recommended by the CDC.
  • We encourage you to wash your hands regularly throughout the day. Hand sanitizer stations will be available throughout the venue.
  •  We encourage you to follow respiratory etiquette when sneezing or coughing (please cough or sneeze into the crook of your arm or a handkerchief/cloth).
  • When shopping in the vendor hall and consignment area, attendees are encouraged to only touch what they intend to purchase.
  • Use of drinking fountains is discouraged per state recommendations.
  • Enjoying the event, fellowshipping with others, and making the most of the time and sessions is recommended by event organizers!

Event Precautions:

  • An on-call Event Medic will be on site to assist where needed. Please let someone at Registration know if assistance is needed.
  • Alcohol-based hand sanitizer stations will be available throughout the venue.
  • All classrooms and common areas will be cleaned regularly.
  • All main sessions will be mirrored in our overflow room (Stage B) for additional social distancing as needed.
  • Stage B will remain open for fellowship and networking while social distancing during breaks.
  • CDC Signage will be displayed with COVID-19 protocols and reminders throughout the venue.
  • Bathrooms will have posted recommended occupancy limits to facilitate social distancing. 
  • All main sessions and breakouts in Stage A will be livestreamed for those unable to attend in person. All the main sessions and all breakouts will be recorded and available for viewing on the Guild Membership platform for premium members shortly after the event.

For Staff:

  • All staff and volunteers will be required to answer the following questionnaire daily:
    • Have you been in close contact with a confirmed case of COVID-19 in the past 14 days? (Does not apply to medical personnel, first responders, or other individuals who encounter COVID-19 as part of their professional or caregiving duties while wearing appropriate PPE)
    • Are you experiencing a cough, shortness of breath, or a sore throat?
    • Have you had a fever in the last 48 hours?
    • Have you had a new loss of taste or smell?
    • Have you had vomiting or diarrhea in the past 48 hours?
      If the answer is “yes” to any of the above questions, staff or volunteers will not be allowed entrance into the venue per state guidelines.
  •  All staff and volunteers will also be temperature screened daily with a touchless thermometer. Anyone with a temperature of 100.4° F or higher will not be allowed entrance into the venue per state guidelines.
  • All staff are required to wear face coverings while interacting with attendees per state guidelines.
  • All staff are required to wash hands before starting shifts, and regularly during shifts.
  • All staff responsible for handing items to attendees (e.g. nametags, food or beverages, consignment items, etc.) are required to wear disposable gloves when handling said items. Gloves must be changed regularly.
